Privacy Policy

LeadFlow AI ("LeadFlow", "we", "us") is operated by Zac Anthony Van der Merwe (ABN 74 490 428 767), Brisbane, Queensland 4053, Australia. This policy explains what information LeadFlow collects at https://leadflow.life, how it is used, and your choices. We handle personal information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. Information we collect

• Account information: your email address, name and password (stored only as a secure hash by our authentication provider), or your basic Google profile (name, email, picture) if you sign in with Google.
• Business profile: details you enter about your business, ideal customers and outreach offer.
• Leads: business details you add or import, and public business information found through Google Places and the business's own public website (such as name, address, phone, website, publicly listed contact names and emails).
• Outreach content: AI research notes, email drafts, your edits, approval and "marked as sent" records, lead stages and any reply notes you record.
• Billing information: payments are handled by our payment processor; we do not store full card numbers.
• Technical data: basic logs needed to run and secure the service. Your preferred email app is saved only in your own browser.

2. How we use information

We use your information only to provide LeadFlow: to find and organise leads, research prospect businesses, draft outreach emails for your review, keep track of your pipeline, bill your subscription and provide support. We do not sell your information and do not use it for advertising.

3. Your email account

LeadFlow does not need access to your email account. It does not request Gmail or other mailbox permissions, does not read your inbox, and does not send emails for you. When you approve a draft, LeadFlow opens it in the email app you choose (such as Gmail, Outlook, Apple Mail or your device's default app) with the recipient, subject and message filled in. You send it yourself, and that email app's provider handles it under its own privacy policy. LeadFlow only records that you marked the email as sent.

4. Service providers

We use trusted providers to run LeadFlow: Lovable (hosting, database, authentication and AI processing), Google Places (business search), a website screenshot service used to assess public business websites, and our payment processor. Data may be processed outside Australia, including in the United States. These providers process data only to deliver their services to us. Content sent to our AI provider is used only to produce your research and drafts.

5. Retention and deletion

We keep your data while your account is active. To delete your account and all associated data (profile, leads, research, drafts and sent records), email zacvander@outlook.com. We complete deletion within 30 days, except where the law requires us to keep billing records.

6. Security

Data is encrypted in transit, and each user can access only their own records. No system is perfectly secure, but we take reasonable steps to protect your information.

7. Your rights

You can access, correct or delete your information, or complain about how we handle it, by emailing zacvander@outlook.com. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).

8. Prospects contacted through LeadFlow

If you received an email from someone who uses LeadFlow, that person sent it from their own email account and is responsible for the message. Reply to the sender to unsubscribe, or contact us to have your business details removed from LeadFlow.

9. Changes

We will post updates on this page and notify account holders of significant changes.
